Introduction

AniMica LLC operates AniMica available at animica.app. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

Information We Collect

Account Information

When you create an account, we collect:

  • Full name and email address
  • Authentication credentials, managed by our authentication provider. AniMica does not store plain-text passwords.
  • Optional mailing or service-related address information
  • Phone number
  • Emergency Contact
  • Emergency Contact phone number
  • Profile picture and preferences

User-Generated Content

We store content you create, upload, or submit through the Service, including:

  • Dog profiles
  • Vaccine records
  • Medication logs
  • Boarding/daycare/training/other related services records
  • Scheduling requests
  • Payment records
  • Daily report photos
  • Client communication
  • Employee notes
  • File attachments and uploads

Photo, File, and Media Uploads

AniMica allows users, kennels, and staff to upload, store, and manage visual and file-based records as part of the Service, including:

  • Owner profile pictures
  • Dog profile photos
  • Vaccination record images
  • Veterinary documentation
  • PDF files and uploaded health records
  • Daily report photos
  • Boarding, daycare, and training-related media
  • Intake or service documentation
  • Other user-submitted attachments

These uploads may contain personal, pet health, or operational information and are stored securely through AniMica’s third-party cloud infrastructure providers.

By uploading content to AniMica, users represent that they have the legal right or authorization to provide such content and understand that it may be accessible to authorized kennel staff, administrators, or service providers as necessary for operational purposes.

AniMica does not claim ownership of user-uploaded content; however, users grant AniMica permission to store, process, display, and transmit uploaded content solely for the purpose of operating and improving the Service.

Users are responsible for ensuring that uploaded files and media are accurate, lawful, and appropriate for the intended service.

Payment Information

AniMica does not directly collect or store full billing credentials such as credit card numbers.

Payments are processed through third-party providers, including Square. AniMica may collect and manage payment-related operational data, including:

  • Invoice records
  • Payment status
  • Authorization holds
  • Deposits or retainers
  • Account credits
  • Refund tracking according to kennel-specific policies

Usage Data

We automatically collect:

  • Application Logs: Feature usage, actions performed, errors encountered
  • Device Information: Browser type, operating system, screen resolution, device type
  • Network Information: IP address, approximate location (city/country level)
  • Session Data: Login times, session duration, pages/features accessed
  • Performance Data: Load times, crashes, and diagnostic information

Information from Third Parties

We may receive information from:

  • Authentication Providers: Google or other supported sign-in providers
  • Payment Processors: Transaction status and billing details (we do not store full credit card numbers)

Animal Care Disclaimer

AniMica provides software tools for scheduling, client management, and operational support. AniMica does not provide animal care, veterinary, boarding, or training services directly.

Pet-Sensitive Data Disclaimer

AniMica stores data sensitive to pets including:

  • Pet medical information
  • Vaccination data
  • Emergency contacts
  • Behavioral Notes

AniMica is NOT:

  • a veterinary provider
  • a medical authority

Users and service providers are responsible for ensuring the accuracy of submitted pet health, vaccination, and care information.

Kennel Responsibility

Each kennel or service provider using AniMica is solely responsible for compliance, pet safety, customer disputes, and service execution.

Medical Record Accuracy

Users are responsible for maintaining accurate pet health, medication, and vaccination information.

Your data is stored on secure servers provided by Google Firebase / Google Cloud Platform in United States multi-region data centers (nam5).

  • Encryption of data at rest through Google Firebase / Google Cloud infrastructure
  • Role-based access controls through account permissions
  • Secure authentication systems
  • Google-managed infrastructure redundancy and security protections

In the event of a data breach affecting personal information, AniMica will comply with applicable legal obligations regarding breach notification, including notifying affected users and relevant authorities where required.

  • With your team/organization: Staff at the kennel you are signed up with will be able to access your information

If you access the Service from outside the USA, your data may be transferred to and processed in the United States. Where applicable, AniMica relies on protections made available through its third-party providers and applicable legal mechanisms.

The Service is intended for business operators and pet owners who meet applicable legal age requirements.

We will notify you of material changes via email or an in-app notification at least 30 days before the changes take effect. Continued use of the Service after changes constitutes acceptance.
